Please review this page before arriving Friday morning.

Load-In Time

 

Friday load-in begins at 9:00 AM
Please do not arrive before 9:00 AM. The hotel cannot accommodate vendors waiting or staging inside prior to load-in.

Your booth location will be provided at check-in.
 

Marketplace Listing

You can confirm your participation on the COCO Marketplace page.


If you applied, were approved, and completed payment before February 1 and do not see your name listed, please contact us so we can verify and correct it.

If you were recently approved from the waitlist within the last 24–48 hours, your listing may not appear yet while updates are finalized. Your space is still reserved and will be provided at check-in.
 

Load-In & Setup Timing

  • Vendor load-in registration closes at 2:00 PM
  • Last freight elevator load-in: 12:30 PM

Exhibitors should plan to check in by 1:00 PM to allow enough time to unload, park, and return upstairs.

All booths must be fully set up by 2:30 PM.

Event opening:
  • VIP admission: 2:45 PM
  • General admission: 3:00 PM


Late arrivals after 2:00 PM may be delayed until traffic allows safe access.

 

Step-by-Step Arrival Process

1. Check In First (Required)
Enter the hotel at the 1st-floor entrance (421 S. Salisbury St) and proceed to the Vendor Check-In Desk on the 1st floor.

At check-in you will receive:
  • your booth number
  • your vendor packet
  • vendor wristbands

Do not unload before checking in.

 

 
 
2. Return to Your Vehicle & Unload
After check-in, return to your vehicle and begin unloading.
  • Small loads: use the first floor Salisbury street entrance circular curb area (15 minutes)
  • Large/heavy loads: use the loading dock and freight elevator (Salisbury Street Alley)
 
Bring your items to the 3rd floor.
Staff and volunteers will be stationed on the 3rd floor to direct you to your assigned vendor area.

Do not begin setting up yet.

Please note: COCO staff and volunteers are not able to assist with carrying merchandise or equipment during load-in. Vendors should plan to bring a helper and/or a cart or dolly if needed.
 
3. Move Your Vehicle

After placing your items at your table:

You must move your vehicle to parking before beginning setup.
The curb and loading areas must remain available for other vendors.

 

4. Return & Set Up
After parking:
 
  • return to the 3rd floor
  • begin setting up your booth
 

You may take as much time as needed to complete setup.

 
Parking
After unloading, vehicles must be moved from the entrance area.

Vendor parking options:
  • hotel parking garage (paid parking)
  • nearby public parking decks (paid parking)
  • street parking in the surrounding area (per city meters/signage)

COCO does not provide or validate parking.

The front entrance and loading dock are for active unloading only and may not be used for event parking.
Please plan your parking in advance. COCO does not provide or validate parking.
Important Notes
  • Unloading and setup are separate steps
  • The 15-minute limit applies only to curb unloading
  • Volunteers and Staff will help direct you on the 3rd floor
  • Booth locations are provided at check-in and are not publicly posted until later
    What Is Provided
    • 1 table per booth space (exception end caps)
    • black tablecloths
    • 2 chairs
    • water refill stations (please bring a refillable bottle)
    Internet & Payments
    • Wi-Fi network and password will be included in your packet at check-in
    • Credit card readers (Square, etc.) are allowed
    • Wi-Fi may slow during busy hours; a cellular backup/hotspot is recommended
    • COCO staff cannot troubleshoot individual payment devices
    During the Event
    • Please wear your vendor wristband throughout the weekend
    • Volunteers will be available for brief booth breaks
    • Items may remain overnight; rooms are secured after closing
